Terms of service

Please read these Terms and Conditions ("Terms") carefully. They form a binding agreement between you and Columbus Promos LLC covering your use of dtf.printphase.com and any order you place through it.

By browsing the Site, creating an account, uploading artwork, or placing an order, you accept these Terms. If you do not agree, please do not use the Site.

1. Who You Are Contracting With

References to "we," "us," "our," and "Print Phase" mean Columbus Promos LLC. References to "you" mean the person or business placing the order.

2. Eligibility

You must be at least 18 years old and able to form a binding contract to place an order. If you order on behalf of a business, you confirm you are authorized to bind that business, and "you" includes that business.

3. What We Sell

We produce direct-to-film (DTF) heat transfers and related printed products, including:

  • Custom DTF transfers printed from artwork you upload
  • Gang sheets, either built with our online gang sheet builder or uploaded ready-made
  • Stock and custom patches, including American flag patches
  • Sample packs

Our products are transfers, not finished garments. Unless the product page says otherwise, you receive a printed transfer film that you apply to your own substrate using your own heat press. We do not supply garments, and we do not press transfers onto garments for you.

Product descriptions, images, and specifications on the Site are provided in good faith and are as accurate as we can make them. Printed output can differ slightly from an on-screen image; see Section 7.

4. Accounts

If you create an account, keep your login details confidential and accurate. You are responsible for activity that occurs under your account. Tell us promptly at support@printphase.com if you believe your account has been used without your authorization. We may suspend or close an account that is used in breach of these Terms.

5. Your Artwork: Rights, Warranties, and Restrictions

5.1 You keep ownership

You retain all ownership of the artwork you upload. You grant us a limited, non-exclusive license to reproduce, store, resize, rasterize, color-manage, and print that artwork solely to produce and fulfill your order and to handle any related claim or reorder. This license ends when we no longer need the file for those purposes.

5.2 Your warranty to us

By uploading artwork, you represent and warrant that:

  • You own the artwork, or hold all licenses, rights, consents, and permissions needed to have it reproduced by us;
  • Reproducing it will not infringe any copyright, trademark, trade dress, patent, right of publicity, right of privacy, or other right of any third party;
  • You have any required release from any identifiable person, team, brand, or organization shown in it; and
  • It does not violate any law or these Terms.

We do not review or verify the ownership of artwork you send us. We produce what you supply, in reliance on your warranty above.

5.3 Content we will not print

We may decline, cancel, or refuse to reproduce any order that in our reasonable judgment contains:

  • Content that infringes third-party intellectual property rights, including unlicensed logos, characters, sports team marks, and brand names
  • Counterfeit designs or content intended to pass off as another brand
  • Content that is unlawful, defamatory, harassing, or that incites violence
  • Content promoting hate against a group based on race, ethnicity, religion, disability, sex, sexual orientation, gender identity, national origin, age, or veteran status
  • Sexually explicit content or content that sexualizes minors
  • Content that violates applicable advertising, labeling, or consumer-protection law

If we decline an order under this section before production, we will cancel it and refund you in full. Declining an order is not an assessment of your legal rights in the artwork.

5.4 Indemnity

You agree to indemnify, defend, and hold harmless Columbus Promos LLC, its owners, officers, employees, and suppliers from any third-party claim, demand, loss, liability, damage, cost, or expense (including reasonable attorneys' fees) arising from artwork you supplied to us or from your breach of this Section 5.

6. Artwork Requirements and File Preparation

Print quality depends on the file you supply. You are responsible for supplying print-ready artwork.

  • Resolution: we recommend 300 DPI at final print size. Low-resolution, heavily compressed, or upscaled files will print soft or pixelated.
  • Color space: we recommend sRGB or CMYK files with embedded profiles.
  • Transparency: files should have a transparent background where no ink is wanted. A white background will print as white ink.
  • Fine detail: very thin lines, small text, and fine halftone detail may not hold. We recommend a minimum stroke weight and text size appropriate to the print size.
  • Sizing and placement: you are responsible for the dimensions and layout you specify or build in the gang sheet builder.

We print files as supplied. Unless you have purchased a paid design or file-preparation service from us, we do not redraw, retouch, resize, correct spelling, or fix layout. We may, at our discretion, contact you about an obvious file problem before printing, but we are not obliged to do so, and doing so may delay production.

7. Color: What We Promise and What We Do Not

We take color seriously. We use in-house ICC profiling, expanded-gamut printing, and hand color-checking to produce accurate, consistent results.

What we do not promise: an exact match to your monitor, to a printed sample produced elsewhere, or to a Pantone or brand-standard reference, unless we have expressly agreed to that in writing for your specific order.

Color reproduction is affected by:

  • Monitor calibration, brightness, and viewing conditions on your end
  • The gamut limits of DTF pigment inks, which cannot reproduce every RGB color
  • Your substrate color, fabric type, and finish
  • Your press temperature, dwell time, pressure, and peel method

We recommend ordering a sample pack or a small test run before committing to a large order or a color-critical job.

8. Pricing, Taxes, and Payment

8.1 Prices

All prices are shown in U.S. dollars (USD) and are the prices in effect at the time you place your order. Prices exclude shipping and applicable taxes, which are calculated and displayed at checkout before you pay.

There are no hidden fees, membership fees, subscription charges, or recurring charges. The total shown on the final checkout screen is the total amount you will be charged for that order. We will never charge your payment method for anything you have not expressly authorized.

8.2 Taxes

Sales tax is calculated at checkout based on your shipping destination and applicable law. If you are a reseller claiming exemption, submit a valid exemption certificate to support@printphase.com before placing the order. We cannot retroactively remove tax from a completed order.

8.3 Payment

We accept the payment methods displayed at checkout, which currently include Visa, Mastercard, American Express, Discover, Apple Pay, and Google Pay. Payment is taken in full at the time you place your order. Production does not begin until payment is authorized.

8.4 Errors

Despite our best efforts, an item may occasionally be listed at an incorrect price or with an incorrect description. If we discover an error affecting an order you have placed, we will contact you and give you the choice of confirming the order at the correct price or cancelling for a full refund. We will not charge you the higher amount without your agreement.

8.5 Order acceptance

Your order is an offer to buy. A confirmation email acknowledges receipt of that offer; it is not acceptance. The contract is formed when we accept your order by beginning production or dispatching it. We may decline any order, including where the item is unavailable, where payment cannot be authorized, where the artwork falls under Section 5.3, or where we suspect fraud. If we decline, we refund you in full.

9. Production Time and Shipping

Two separate periods make up your total delivery time: production time (how long we take to print and pack) plus transit time (how long the carrier takes to deliver). Please read both.

9.1 Production time

Business days are Monday through Friday, excluding U.S. federal holidays. Orders placed on a weekend or holiday are treated as received on the next business day. Large orders, complex jobs, and periods of exceptionally high volume may take longer; if your order will be delayed, we will contact you.

9.2 Transit time

We ship via UPS from Pataskala, Ohio.

Transit times are quoted by the carrier, count only business days, and do not include the day the package ships. Expedited services buy faster transit; they do not shorten production time.

9.3 Shipping charges

Free shipping applies to the standard ground service only, and is based on the merchandise subtotal before tax. If you upgrade a qualifying order to an expedited service, the expedited charge applies. Your exact shipping cost is always displayed at checkout before you pay.

9.4 Delivery, tracking, and risk

We email tracking as soon as your order ships. Title and risk of loss pass to you when the carrier takes possession.

Carrier delivery estimates are not guaranteed by the carrier and are outside our control. Delays caused by weather, carrier disruption, customs, incorrect or incomplete addresses, or events beyond our reasonable control are not our responsibility, and shipping charges are not refundable for such delays.

We are not responsible for orders that are delayed, lost, damaged, or stolen after they leave our facility, and such orders are not refunded or reprinted. As a courtesy, we will help you file a claim directly with the carrier; any payout on a carrier claim comes from the carrier. You are responsible for the accuracy of the shipping address you provide. Packages returned to us as undeliverable due to an incorrect address may be reshipped at your cost.

9.5 Shipping destinations

We currently ship within the United States. For shipping outside the United States, contact support@printphase.com before ordering. Where international shipping is agreed, you are the importer of record and are responsible for all duties, taxes, and customs charges.

10. Changes and Cancellations

Because our products are printed to order and most orders enter production quickly, the window to change or cancel is very short.

  • Email support@printphase.com immediately with your order number and the word CANCEL in the subject line.
  • Once printing has begun, an order cannot be changed or cancelled, because the transfer is custom-made and cannot be resold.
  • Where a cancellation request reaches us before production has begun, we may cancel the order and return your payment at our discretion. We cannot guarantee that a request will reach us in time.

11. Returns and Refunds , ; All Sales Are Final

Our Return and Refund Policy forms part of these Terms. Please read it in full before ordering.

All sales on dtf.printphase.com are final. We do not accept returns, and we do not issue refunds, exchanges, reprints, or store credit. This applies to every product we sell and to every reason an order might be returned, including misprints, defects, color variation, application damage, and orders delayed, lost, damaged, or stolen in transit.

Our products are printed to order from artwork you supply and have no resale value to any other buyer, which is why we operate a strict final-sale policy and price our work accordingly.

The single exception is that where we cancel your order before it enters production , ; because we decline the artwork under Section 5.3, because we cannot fulfill it, because payment cannot be authorized, or because of a pricing or listing error on our side , ; we will cancel the order and return your payment in full. Nothing was printed, so there is no order to charge for.

Because all sales are final, please check your artwork, sizes, quantities, and shipping address carefully before you order, and consider ordering a sample pack or a small test run first.

12. Application and Disclaimers

12.1 Application is your responsibility

Transfers must be applied using the pressing instructions we supply for that product. Results depend on your equipment, your substrate, and your process. We are not responsible for garments, blanks, or other substrates damaged, scorched, or ruined during application, and we do not reimburse the cost of your blanks.

Always test one transfer on a scrap piece of the same substrate before running a full job.

12.2 Products are sold as is

To the fullest extent permitted by law, all products are sold "as is" and all sales are final. We give no warranty, express or implied, as to the condition, quality, durability, color accuracy, or fitness of any product, and no remedy of return, refund, exchange, or reprint is available. See our Return and Refund Policy.

12.3 Disclaimer

To the fullest extent permitted by law, the Site and our products are provided "as is" and "as available," and we disclaim all warranties, express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Site will be uninterrupted or error-free.

Nothing in these Terms excludes or limits any right you have under applicable consumer-protection law that cannot lawfully be excluded or limited.

13. Limitation of Liability

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost revenue, lost business, loss of goodwill, or the cost of substitute goods or services, even if we were advised such damages were possible.
  • Our total aggregate liability arising out of or relating to any order will not exceed the amount you paid us for that order.

These limits apply regardless of the legal theory on which a claim is based, and do not apply to liability that cannot lawfully be limited.

14. Intellectual Property in the Site

The Site itself , ; including our name, logo, branding, page design, text, photography, gang sheet builder software, and color profiles , ; is owned by Columbus Promos LLC or its licensors and is protected by intellectual property law. You may not copy, reproduce, scrape, reverse engineer, or create derivative works from it without our written permission. This section does not affect your ownership of your own artwork under Section 5.1.

15. Acceptable Use

You agree not to:

  • Use the Site for any unlawful purpose or in breach of these Terms
  • Attempt to gain unauthorized access to the Site, other accounts, or our systems
  • Introduce malware or interfere with the operation of the Site
  • Use automated tools to scrape, harvest, or overload the Site
  • Place fraudulent orders or use a payment method you are not authorized to use
  • Resell or redistribute our gang sheet builder or other Site software

16. Third-Party Services

The Site relies on third-party services, including Shopify for hosting and checkout, payment processors, and UPS for shipping. Your use of those services may also be subject to their own terms. We are not responsible for third-party services we do not control.

17. Termination

We may suspend or terminate your access to the Site, or decline to accept future orders from you, if you breach these Terms, place fraudulent orders, or abuse our staff. Sections 5.2, 5.4, 8, 12, 13, 14, 18, and 19 survive termination.

18. Governing Law and Disputes

These Terms and any dispute arising from them or from your order are governed by the laws of the State of Ohio, without regard to its conflict-of-laws rules.

Informal resolution first. If you have a problem, please email support@printphase.com before starting any formal proceeding. Most issues are resolved quickly and at no cost to you. We commit to responding within 5 business days and working with you in good faith for at least 30 days.

If a dispute cannot be resolved informally, you and we agree to the exclusive jurisdiction of the state and federal courts located in Licking County, Ohio, and each party consents to venue there. Nothing in this section prevents either party from seeking injunctive relief to protect intellectual property rights, or from bringing a claim in small claims court.

19. General

  • Entire agreement. These Terms, together with the Privacy Policy and the Return and Refund Policy, are the entire agreement between you and us regarding the Site and your order, and supersede any prior understanding.
  • Severability. If any provision is found unenforceable, the remaining provisions stay in force.
  • No waiver. Our failure to enforce any provision is not a waiver of our right to enforce it later.
  • Assignment. You may not assign these Terms without our written consent. We may assign them in connection with a merger, acquisition, or sale of assets.
  • Force majeure. We are not liable for delay or failure to perform caused by events beyond our reasonable control, including natural disasters, labor disputes, carrier failures, utility or supply-chain interruptions, and government action.
  • Headings. Section headings are for convenience only.

20. Changes to These Terms

We may update these Terms from time to time. The revised version will be posted on this page with a new "Last updated" date and takes effect when posted. Orders already placed are governed by the Terms in effect at the time the order was placed. Continued use of the Site after an update means you accept the revised Terms.
